FleetProve ("we," "us," or "our") operates the FleetProve platform at fleetprove.com, a software-as-a-service solution for vehicle inspection and fleet management. This Privacy Policy describes how we collect, use, disclose, and protect information when you use our services.
By accessing or using FleetProve, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use our services.
We collect the following categories of information in connection with our services:
1.1 Account Information
When your organization creates a FleetProve account, we collect business contact information including company name, contact person name, email address, and phone number.
1.2 Vehicle Inspection Data
When you perform vehicle inspections through our platform, we collect:
1.3 Customer Information
When you record renter or customer details through FleetProve, we may collect:
1.4 GPS and Location Data
If you use our shuttle tracking feature, we collect real-time GPS location data from Bouncie tracking devices installed in your vehicles. This data is used to display vehicle locations on a live map and is associated with your fleet account.
1.5 Payment Information
We use Stripe as our payment processor. All credit card and payment information is collected and processed directly by Stripe. FleetProve does not receive, store, or have access to your full credit card numbers. Please refer to Stripe's Privacy Policy for details on their data handling practices.
1.6 Usage Data
We collect basic server-side usage information such as login timestamps and feature usage to maintain service reliability. We do not use third-party analytics services, advertising trackers, or social media pixels.
We use collected information for the following purposes:
FleetProve uses artificial intelligence to detect vehicle damage from inspection photographs. To continually improve the accuracy and reliability of this technology, we retain de-identified vehicle photographs and associated damage annotations after the standard inspection data retention period has expired.
De-identification process: Before any vehicle photograph is archived for AI training purposes, all personally identifiable information is permanently stripped. This includes, but is not limited to: customer names, license plate numbers, vehicle identification numbers (VINs), contact information, and any other data that could reasonably identify an individual or specific vehicle.
Use of de-identified data: De-identified vehicle photographs and damage annotations may be used to develop, improve, and commercialize FleetProve's vehicle inspection and damage detection technology. Because this data has been permanently stripped of all personal identifiers, it is no longer considered personal information and is not subject to individual deletion or access requests.
| Data Category | Retention Period |
|---|---|
| Inspection data (photos, reports, customer info) | 30–90 days after inspection, depending on subscription plan |
| De-identified AI training data (photos + annotations) | Retained indefinitely |
| Account and billing information | Until account deletion, plus any legally required retention period |
| GPS / shuttle tracking data | Real-time only; not stored beyond the active tracking session |
| Server logs | 90 days |
When inspection data reaches the end of its retention period, it is automatically purged from our active systems. De-identified photographs retained for AI training cannot be traced back to any individual or specific vehicle.
FleetProve uses a single, strictly necessary session cookie:
| Cookie Name | Purpose | Attributes | Duration |
|---|---|---|---|
fp_session |
Maintains your authenticated session after login | HttpOnly, Secure, SameSite=Strict | 24 hours |
This cookie is essential for the platform to function and cannot be disabled while using the service. We do not use any advertising cookies, analytics trackers, social media pixels, or other non-essential tracking technologies. Because we only use a strictly necessary cookie, no cookie consent banner is required.
We share information with the following categories of third-party service providers, solely to operate and deliver our services:
| Provider | Purpose | Data Shared |
|---|---|---|
| Stripe | Payment processing | Billing information (processed directly by Stripe; FleetProve never handles card data) |
| Bouncie | GPS vehicle tracking | Vehicle location data for shuttle tracking |
| AI service providers (Anthropic Claude API, Roboflow, InspektLabs) | Vehicle damage detection and image analysis | Vehicle photographs for real-time damage analysis |
| Email delivery (Nodemailer / SMTP) | Sending inspection reports and notifications | Recipient email addresses and report content |
We do not sell personal information to third parties. We do not share personal information with third parties for their own marketing purposes.
FleetProve offers an optional shuttle tracking feature that uses Bouncie GPS devices to display the real-time location of fleet vehicles on a live map. This feature is intended for fleet operators to coordinate vehicle logistics, not to track individuals.
GPS data is processed in real time and is not stored on FleetProve servers beyond the active tracking session. Bouncie may retain location data in accordance with their own privacy policy. Fleet operators are responsible for informing their drivers and customers that vehicles may be equipped with GPS tracking devices.
We implement technical and organizational measures to protect your information, including:
No method of electronic storage or transmission is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
FleetProve is a California-based business. If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA):
Important note regarding de-identified data: Under the CCPA, information that has been de-identified (i.e., data from which all personal identifiers have been permanently removed and which cannot reasonably be linked back to an individual) is not considered "personal information." Accordingly, de-identified vehicle photographs and damage annotations retained for AI training purposes are exempt from CCPA access, deletion, and opt-out requests.
To exercise any of these rights, please contact us at privacy@fleetprove.com. We will verify your identity before processing your request and respond within 45 days as required by law.
